OFFICE MOVING INSTRUCTIONS
EMPLOYEE: ___________________________________________
LABEL COLOR: ____________________________
ROOM / AREA: _________________________________________
LABELING
The "Room / Area" code above is your new
address for the purposes of moving to your new building.
Every item that is to be moved for you must have a tag
on it indicating your unique room or area code. If an
item does not have a tag on it, you can assume that
it will not be moved or that it will get lost. Each
employee has the responsibility of tagging all items
in his work area. Please follow the directions below
and do not leave your old work area until you are sure
that all items are properly tagged.
You may be asked to pack or tag in a common area. If
so, please be familiar with the area or room code for
that area and be sure that all items are tagged appropriately.
Your Move Coordinator will have a floor plan identifying
the codes for each room and area in the building.
Please use a magic marker or felt tip pen to mark the
labels. Please be sure that all codes are written legibly
on the labels. If you are packing a number of cartons
in your area, you should use the section of the tag
marked pieces to list the total number of cartons originating
from your area; for example, 1 of 5, 2 of 5, 3 of 5,
etc.
LABEL PLACEMENT
Affix all labels in a place where the movers will easily
view them. Examples: top right surface of desks, bookcases,
credenzas, and tables. Labels on the boxes should be
placed on the end of the cartons near, but not interfering
with the handles. Labels should be on the front of file
cabinets and on the top of computer casings. For chairs
and sofas the labels should be placed on the base or
legs, as they will not adhere to upholstery.
Do not place labels on the glass screens of terminals
or PCs. If you need to place a label on a rough surface,
use scotch tape to be sure it will not peel off. Please
do your labeling as near to moving day as possible to
decrease the chance of labels coming off the pieces
they are meant to identify.
PACKING INSTRUCTIONS
All boxes are stacked on dollies when moved, so be
sure that the tops of the boxes are closed and flat.
Fill the boxes completely. (Partially packed boxes will
crush in the move.)
The boxes that are being utilized for your move do
not require sealing tape. Please familiarize yourself
with how they assemble.
Fragile items should be wrapped in paper. Cartons containing
fragile items should be marked accordingly.
Desks, bookcases, storage cabinets and credenzas will
be upended during the move. Contents of these items
should be packed in cartons. Besides labeling for your
area you may want to write on the cartons that they
contain items from your desk or credenza, etc.
FILE CABINETS
- Vertical (narrow) file cabinets DO NOT require
packing. Be sure that all pressure plates are moved
forward so contents will be secured when moving.
- Lateral (wide) file cabinets Contents above
the bottom two draws MUST be packed into cartons.
Label the file and the cartons containing contents
from the file with the same number. You may want to
indicate which drawer the contents belong in.
- Stationary Cabinets Contents of these cabinets
MUST be completely packed into cartons.
Fireproof or Safe Files No packing is required.
Secure the draws closed.
PICTURES, BULLETIN BOARDS AND WHITE BOARDS
These items should be removed from walls and labeled.
These items will be wrapped by the movers and transported
in special cardboard bins.
COMPUTER TERMINALS, PCs AND PRINTERS
All sensitive computer and electronic equipment will
be carefully wrapped and transported in special bins.
DO NOT BOX THESE ITEMS. Cords, cables and mouses should
be placed in the pouches provided and labeled to deliver
to your new area. Be sure each piece of your equipment
has a label on it.
If you have a printer that utilizes a cartridge, it
should be removed for the move. Loose keyboard keys
should be placed in your cable pouch.
Disks should be packed separately. Before shutting
down your computer make sure you have completed any
backup requirements that you may have been instructed
to perform.
PERSONAL ITEMS
If your workspace contains any personal items, such
as pictures, trophies, knick-knacks, plants or other
valuables, you MUST hand carry these items to your new
office. The mover is not liable for non-company owned
property.
MISCELLANEOUS
Remember to label everything that is to be moved, including
wastebaskets, floor mats, heaters, coat racks, and in-out
baskets. On move day every item to be moved should have
a label on it or packed in a box with a label on it.
